Job Summary

The Accounts Assistant will be responsible for undertaking all aspects of accounting and stores management within the Company. This role involves maintaining accurate records of accounting transactions, assessing the financial impact of inventory movements, managing the stores function at the NB0X1 Nairobi Kenya site and ensuring compliance with accounting principles and Company policies. The primary purpose is to contribute to the overall financial health of the Company by providing accurate and timely information including but not limited to inventory and store activities.

INVENTORY MANAGEMENT

  • Generate regular financial reports related to inventory, including valuation reports, cost of goods sold (COGS), and inventory turnover.
  • Calculate and allocate costs associated with inventory, including purchase costs, shipping costs, and any additional overhead expenses.
  • Conduct periodic stock takes to ensure that the inventory is safeguarded
  • Assist External auditors with stock takes and inventory audits.
  • Establish and maintain internal controls related to inventory and stores management.
  • Implement and monitor procedures to prevent fraud, errors, or discrepancies in inventory and stores records.
  • Reconcile physical inventory counts with the accounting records and investigate and resolve any discrepancies.
  • Perform regular reconciliations of inventory sub-ledgers to the general ledger.
  • Contribute to the development of budgets and forecasts by providing accurate and reliable information on inventory costs and trends.
  • Work closely with other departments to align inventory-related financial goals with overall organizational objectives.
  • Collaborate with procurement and vendors to ensure accurate recording of purchase transactions

FINANCE, ACCOUNTING, TAX & AUDIT:
Preparation of financial records of the organization including:

  • Recording and processing financial transactions in line with International Financial Reporting Standards;
  • Preparing accurate and timely reports as required from time to time;
  • Processing monthly payroll, and complying with statutory deductions;
  • Ensuring statutory payments are completed and made on time (NHIF, NSSF including VAT, import duties, PAYE, Withholding and Corporate Income Tax among others;
  • Performing reconciliations of ledgers;
  • Ensuring quarterly instalments are remitted accurately and in a timely manner;
  • Liaising with banks, service providers and others as required;
  • Cooperating with auditors in preparing annual external audited financials including preparing trial balances, accounting records; resolving audit queries and implementing recommendations;
  • Ensuring timely and professional communication between the accounts department and internal and external parties.
  • Other:
    • Ensuring proper filling of all documentation in the cloud and physical;
    • Performing other duties as assigned.

Experience / Skills / Abilities:

  • Experience with managing large volumes of capital expenditure;
  • Demonstrated strong relationships with vendors;
  • In-depth knowledge of various applicable International Financial Reporting Standards;
  • Experience in managing inventory and stores functions
  • Thorough understanding of, or ability to quickly learn, the office equipment, recordkeeping systems, management information systems, and related protocols used in the organization.
  • Professional and tactful interpersonal skills with the ability to interact with a variety of personalities.
  • Strong supervisory skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with proven ability to meet deadlines.
  • Extremely proficient with Microsoft Office or related software.

Education and Experience:

  • Minimum recognised account qualification such as ACCA or CPA;
  • Bachelor’s degree in commerce is an added advantage
  • Experience using financial management software;
  • Experience working in an international/multi-cultural environment;
  • Experience of up-to 2 years in a busy working environment;
